Are you passionate about events, food, and hospitality? We're excited to welcome an Assistant Event Coordinator to our growing team! We're a family-run farm, restaurant, and event venue located on 100 acres of lush farmland in the beautiful Hudson Valley region of New York. We grow specialty organic produce, which serves as the heart of our food and beverage program.
In addition to offering fresh, locally sourced dishes in our onsite restaurant, we host events—primarily weddings and other celebrations—throughout the year, with a bustling outdoor event season running from May to November. Position Overview
As an Assistant Event Coordinator, you'll provide essential support to the Director of Events and Senior Event Manager. This full-time hourly role offers potential for growth into a salaried management position for the right candidate. The schedule primarily includes Wednesday through Sunday, with on-site presence required during event days (Friday, Saturday, and Sunday). During the busy event season, flexibility for nights and weekends is essential. Administrative tasks and event prep take place on Wednesdays and Thursdays, with potential for remote work as determined by the event team.

Qualifications:
Experience in a client-facing role.
Background in hospitality, food and beverage, catering, or event planning industries.
Familiarity with event timelines, logistics, and operations.
Strong organizational skills with keen attention to detail.

Motivated and eager to grow in the event planning field.
Calm under pressure, with a professional demeanor when working with guests, clients, and staff.
A multitasker with the ability to anticipate and fulfill the needs of the event team.
Proficient in Google Workspace (Drive, Gmail, Calendar, Docs, and Sheets); knowledge of event planning software is a plus.
Exceptional verbal and written communication skills.
Your Responsibilities
As part of our event team, you'll play a key role in ensuring our events are unforgettable. Some of your responsibilities will include:
Assisting with event coordination and execution on the day of events.
Maintaining and updating event planning documents and calendars.
Organizing photos from past events to support the event management team.
Scheduling and coordinating site visits with clients and vendors.
Preparing and sending planning documents to clients.
Assisting with specialty events, such as farm dinners and tastings.
Updating email templates to streamline communication.
Managing vendor and client communications on event days.
Ordering, organizing, and maintaining decor inventory.
Supporting other duties as assigned by the event team.
Compensation and Availability
Hourly pay: $25.00 - $30.00, based on experience.
Workdays: Wednesday through Sunday (off Mondays and Tuesdays).
